Vault adds retention/holds for Gemini app

Google Vault now supports retention rules and litigation holds for the Gemini app on web and mobile. Previously, administrators were able to use Vault to search Gemini app conversations and export those search results. With this update, administrators can now also create, update, and delete the following for the Gemini app:

  • Default retention rules: Set default retention rules for the Gemini app for a finite or indefinite retention period.
  • Custom retention rules: Create custom retention rules for the Gemini app by organizational unit (OU) or the entire domain for a finite or indefinite retention period.
  • Litigation holds: Place holds on the Gemini app data for a specific OU or a list of users.

Google Vault is an eDiscovery and information governance tool for Google Workspace that enables customers to retain, hold, search, and export users’ Google Workspace data. With this update, customers can expand their regulatory and legal eDiscovery management to include retention and holds for the Gemini app, making it easier to comply with data obligations from a central tool.

Additional details

  • Application scope: This update applies specifically to the Gemini app (on web and mobile) and is not applicable to Gemini in Google Workspace features integrated into other apps (such as "Help me write" in Gmail or Docs), as those specific interactions are not retained in the same manner.

  • Policy precedence: Vault retention rules and holds will always take precedence over Admin console settings, user deletion settings, or user activity settings.

  • Example: If a user deletes a conversation or turns off their activity setting, but an active Vault hold requires retention, the data is hidden from the user but remains fully retained and visible to Vault administrators.

  • API support: Support for Vault API users will be available in the coming weeks.

Google Meet on ChromeOS hardware now sends 1080p HD video

We previously launched support for sending full HD video (1080p) in Meet on the web, and we’re now extending that capability to Google Meet room hardware based on ChromeOS.

Google Meet will use full HD when the additional bandwidth is needed for sharp video from the room, such as:

  • On large screens: When others in the call are viewing the room on large monitors or TVs with a layout that makes 1080p necessary, such as full-screen views in Spotlight mode, 1:1 calls or dual-screen rooms. ​
  • When someone pins your video: If a person in the meeting "pins" the room, Meet will send the highest available quality.
  • ​When the meeting is being recorded: Recorded meetings use full HD from the room for the saved meeting video.

​Full HD is available from devices that use a high-resolution camera and can handle the additional processing over a fast, stable internet connection. Meet will continue to automatically adjust video quality downwards if network constraints are detected to ensure a smooth meeting experience.

DLP rules now programmable via Policy API

The Workspace Policy API provides a centralized, comprehensive view of your security settings, eliminating the need to navigate to numerous pages in the Admin console.

With our latest update, we are introducing mutate endpoints (Create, Update, Delete) alongside existing read-only capabilities (Get, List) for data loss prevention (DLP) rules and detectors. This allows super admins to programmatically manage and fully automate the entire lifecycle of their DLP policies, from initial creation to real-time activation and deactivation.

Note this is an API-only launch for capabilities currently supported in the Admin console.

About DLP

DLP lets Workspace admins control external file sharing to prevent sensitive information leaks. It scans files for violations, triggering incidents and protective actions like content blocking.

How DLP works:

  • Admins define rules for sensitive content across Drive, Gmail, Chat, and Chrome.
  • DLP scans content for DLP rule violations that trigger DLP incidents.
  • DLP enforces the rules you defined and violations trigger actions, such as alerts.
  • Admins are alerted for DLP rule violations.

Classroom rubrics now convert from images and files

Building on our October launch, Gemini in Google Classroom can now help educators more easily convert rubric files and images into Google Classroom rubrics, right within the assignment creation workflow. Educators can now upload more file types, such as .jpeg and .png files. For example, by uploading a photo of a physical rubric or using existing files, Gemini in Classroom can help educators quickly generate structured, interactive rubrics within the Classroom interface. They can then make edits to the converted rubric before saving it. This Gemini-powered automation reduces manual data entry and helps educators maintain consistent grading standards across their assignments.

With this launch, rubric conversion will be controlled by the Gemini in Classroom setting in the Admin console. If Gemini in Classroom is disabled for your organization, you’ll no longer be able to convert rubrics from documents or images.

This feature is only available in English for users over age 18.

Drive alignment approvals; edits no longer reset pending approvals

Google Drive is introducing alignment approvals, a lightweight mechanism that allows teams to request and record document sign-offs without file changes resetting the approval flow. When a document is in a partially approved state, collaborators can continue making edits without resetting any recorded approver decisions.

Alignment approvals can be initiated via a new checkbox within the standard request dialog across web clients.

When checked, "Require all approvers to review the same content" resets pending approvals if the file content changes. This is the default behavior.*

When unchecked, changes to the file content don't reset pending approvals.*

This feature serves use cases where strict content locking is unnecessary, making it easier for teams to maintain momentum on fluid projects. While an approval remains pending, individual approvers retain the flexibility to manually reset their approved status back to pending if subsequent content edits no longer match their expectations.

This update follows a series of recent enhancements to the Drive approvals ecosystem, including programmatic approval management with the Drive API.

  • Admins: Approval requests are enabled by default and can be disabled at the domain, OU, and group level. There is no admin setting that controls alignment approvals specifically; users can access them if they have access to the broader approval request feature. Calendar DLP policies scan events for sensitive data

Data loss prevention (DLP) for Google Calendar is now generally available to protect sensitive information shared within event details. Previously available in beta, this feature allows you to create and apply data protection rules that scan calendar event titles, descriptions, and locations for sensitive content, such as credit card numbers or national identification numbers.

Key functionalities include:

  • Choice of actions: Admins can choose to audit when an event is saved with sensitive content, warn users about sensitive content in their event, or block event creation or updates if a DLP policy is violated.
  • Event details: DLP rules scan free-text fields in the event, including the event’s title, description, and location fields.
  • Owner-based policies: Rules are applied based on the organizational unit (OU) of the owner (event organizer on primary calendars or calendar owner on secondary calendars), consistent with other Workspace DLP configurations.
  • User notifications: With DLP policies for Calendar, users receive immediate feedback when sensitive data is detected. On the web, users see a pop-up notification explaining the issue. Admins can also customize this message with more specific details. If a meeting update is blocked on Android, iOS, or via the Calendar API, the user will receive an automated email notification explaining the policy violation and why changes to the meeting invite were not successful.

Data loss prevention (DLP) rules for non-Workspace file attachments and associated proximity conditions are now generally available. These new capabilities enable organizations to target files with specific parameters, such as blocking the sharing of sensitive file formats or identifying files that contain specific strings in their titles.

Using these new content conditions, admins can set up various DLP rules for added protection, such as:

  • File names: Block files containing text string “funkyword”
  • File extensions: Block .java files
  • File types: Block custom mime type such as application/custom_app
  • Proximity matching: Detect “routing number” in proximity of 100 characters of “account number”

Additional details

In addition to file-based conditions, administrators can utilize associated proximity conditions to identify sensitive information in the file. This feature allows for the detection of sensitive data that appears within a specified distance of other predefined data types, regular expressions, or word lists.

For example, a rule can be configured to trigger when a bank account number is found within 100 characters of a routing number. By identifying data in context, proximity matching helps administrators reduce false positives and more accurately secure financial information or proprietary content.

Key functionality in DLP rules for file attachments and associated proximity conditions include:

  • Ability to match against common or custom MIME types and system file categories
  • Support for scanning attachments in Gmail, Drive, and Chat to set rules across communication channels
  • Granular distance settings for proximity matching, allowing admins to define a range of up to 1,000 characters between matched conditions

Previously, data transfers from corporate Google Workspace accounts to third-party apps were restricted. We’re now recalibrating these restrictions to allow for a "trusted ecosystem" between managed apps.

With this release, users are now able to maintain efficient workflows and securely move data between corporate Workspace accounts and other authorized, managed third-party applications without being blocked. For added data protection, this capability strictly prevents the transfer of that data to personal accounts within the same managed Google application or to unmanaged personal apps.

For example, a user is able to copy a client's email address from their corporate Gmail account and successfully paste it into a managed third-party CRM application. When they try to paste that same email address into their personal Gmail account, they are blocked and receive the following message: "This information can only be shared within your organization's Google Workspace apps.”

We are introducing the ability to loop over a list of items in Google Workspace Studio flows, bringing more power and flexibility to your everyday workflows. As part of this, the Ask Gemini step has a new configuration section called Response format where you can decide if the output of the step should be in text or list format. When list format is selected, the new step Repeat for each can be used so that the flow can loop over the items of that list.

Organize My Files in Drive exits beta

In October 2025, we launched a beta for Organize My Files in Drive. This feature is now generally available and has started rolling out to eligible Google Workspace and Google AI plans.

It can be overwhelming to see loose files in your Drive and moving them into the right folder can be manual, tedious, and repetitive. Gemini can help you organize your Drive by providing suggestions of where to move loose files based on your organizing structure and strategies.

Users can access this view through a dedicated entry point titled “Suggest File Moves” within My Drive and parent folders. The dedicated interface displays recommendations divided into two sections: moving files to existing folders, and creating new folders for related file groupings. End users can review these recommendations before any files are relocated.

The interface supports several interactive adjustments:

  • Reviewing files and folders through hovercards or opening them in a new tab.
  • Selecting or deselecting specific file suggestions using checkboxes.
  • Customizing target destinations or renaming proposed new folders directly inline.

Once the user approves the selection, the system performs a batch move and prompts the user to confirm any resulting permission changes. This feature helps users in reducing digital clutter and maintaining organized file structures with minimal manual effort.

Note that this feature is available globally in English.

Getting started

Note: Through July 15, 2026, Workspace customers will get promotional access to higher limits for Organize My Files, allowing users to experiment with this feature. Users will see a notification when they use this feature to inform them of the limited higher promotional access period. Per-user usage limits will apply after that date; we’ll provide more information in the Help Center in advance of updated usage limits going into effect.

Google Classroom now allows educators to tag coursework and rubrics with learning goals, including specific learning standards and skills, providing a more structured way to monitor student growth. When creating assignments, quiz assignments, questions, or materials, educators can search for available, established standards and skills or click on suggested goals, which use AI to analyze assignment and course content. By tagging coursework with these goals, teachers can view analytics that visualize student performance and identify instructional gaps across individual students, entire classes, or specific learning areas.

Learning standards from around the world are made available in Classroom through partnerships with 1EdTech and Common Good Learning Tools. These standard frameworks are pulled from Satchel Rosetta Exchange, a public space hosted by Common Good Learning Tools where anyone can browse various learning standard sets that leverage the 1EdTech® Competencies and Academic Standards Exchange® (CASE®) standard specification. This update enables systematic tracking for standards-based learning, offering several benefits across the school community:

  • For educators and leaders: Teachers can utilize data-driven student performance analytics to adjust instruction, while education leaders with Google Workspace for Education Plus can use the "Visit a class" feature to see how coursework aligns with required standards.
  • For students and guardians: Students and guardians can see the learning goals tagged on assignments, giving them clarity for how curriculum relates to required learning milestones and targeted skill growth.
  • Global availability: Classroom has a growing list of standards already available and periodically brings in new ones from the Satchel Rosetta Exchange. Learning standards are available in the United States, Canada, United Kingdom, Brazil, Japan, Mexico, Italy, and Australia. Learning skills are currently supported in a selection of languages including English, Spanish, Italian, Japanese, Korean, Malay, and Brazilian Portuguese.

CSE Slides now export to PowerPoint via Vault or Takeout

Admins can now bulk export client-side encrypted (CSE) Slides using Vault or Data Export (takeout), and then convert those exports into PowerPoint files. This allows your organization to retain complete ownership, access, and control of sensitive data in a highly portable format.

Eligible Google Workspace admins can sign up for the CSE Office Interop beta program, which provides immediate access to CSE compatible export, import, takeout and office editing features. Organizations who’ve previously signed up for the beta program should see this feature in their domains now.

Google Chat–Teams interoperability launches via NextPlane OpenHub

Organizations often need to collaborate with customers, partners, and suppliers who use Microsoft Teams. NextPlane OpenHub was built to bridge this Google Chat and Microsoft Teams divide, and it is now launching external interoperability to allow communication across organizational boundaries. OpenHub directly connects Google Chat users to people on external Microsoft Teams tenants, making cross-platform collaboration more seamless.

This release supports external interoperability between Google Chat and Microsoft Teams, including presence, 1:1 chat, group chat, Channels and Spaces, file sharing, and meeting and call initiation. A single Google Workspace environment can connect to multiple external Microsoft Teams tenants via OpenHub, enabling cross-tenant collaboration through a single interoperability layer. OpenHub is designed to provide a familiar cross-platform collaboration experience without requiring all parties to use the same collaboration platform.

OpenHub is also designed to support enterprise governance and deployment requirements. It is deployed as a dedicated single-tenant service, can run in a customer-owned GCP project, and keeps customer data under customer control. It uses customer-managed identities and does not require fake user accounts, Nextplane-controlled user accounts, cross-tenant impersonation, or a proxy Teams tenant.

For Google Workspace admins and IT decision-makers, this can help reduce deployment friction through tightly scoped, auditable permissions aligned with customer best practices. Ongoing configuration and management are handled through the existing Google Admin console and Microsoft Teams admin center, without requiring a separate OpenHub administration console. This is especially important for Google Workspace customers working with external organizations, because it avoids imposing a separate portal or a new management process on customers, partners, and suppliers.

Examples of how this can be used include:

  • Collaborate with customers, partners, and suppliers who use Microsoft Teams
  • Support cross-Teams tenant collaboration from a single Google Workspace environment
  • Maintain cross-platform communication during multi-company projects, joint ventures, or extended partner workflows
  • Enable interoperability when domain validation requirements make internal interoperability difficult to deploy
Getting started
  • Admins: This feature requires administrator consent on both sides of the connection, and Workspace and Teams admins must register NextPlan OpenHub as an enterprise application with their respective platforms before use. Configuration is managed at the domain level through the Google Admin console and Microsoft Teams admin center. OpenHub does not require a separate administration console and is managed through existing platform controls. Visit the NextPlane site to learn more about connecting Teams and Workspace.

Gemini chats and canvases shareable via Drive

We are introducing the ability for Workspace users on the web to share snapshots of their chats, canvases, and generated media in the Gemini app. Because this feature is powered by the same underlying technology as Google Drive, it uses the familiar, consistent sharing interface you already rely on for Google Docs and other files. You can still choose to allow conversation sharing via link.

With this update, members of your organization can easily share Gemini workflows and build on top of what others have created, scaling AI competency and collaboration across teams and enabling new ways for educators and students to teach and learn.

Getting started
  • Admins: This feature will be ON by default and can be managed via a new Admin console setting. Additionally, sharing is governed by your organization’s existing Drive sharing policies. If Drive content is set to be shareable outside the organization, your Gemini assets will be as well. Visit the Help Center to learn more.

  • End users: If enabled by your admin, you can share your Gemini conversations, canvases, and media from the web interface using the standard Drive sharing menu.
